Privacy statement

1. Who is responsible for your data

Setfy, established in Haarlem, the Netherlands (Chamber of Commerce / KvK number 99869756), is the data controller. You can reach us at info@setfy.nl or on +31 6 13 42 81 22.

2. What we collect

We only collect the data you enter yourself in the enquiry form on this website:

• Type of request (quote, online meeting or live demonstration)
• Full name
• Company or organisation name
• Organisation type (company, municipality, school or education, health insurer, retailer or other)
• Email address
• Phone number (optional)
• Products and colour or model options you select
• Quantity you indicate
• Preferred date, preferred time and your time zone (for meetings and demonstrations)
• Demonstration location (for live demonstrations)
• Your message (optional)
• Your confirmation that you agree to this privacy statement

3. Why we process it

We use this data solely to answer your request: to prepare a quotation, to schedule an online meeting or a live demonstration, and to follow up on the business conversation you started. We do not use it for automated decision-making or profiling, and we do not send marketing emails unless you explicitly ask us to.

4. Legal basis

The legal basis is Article 6(1)(b) GDPR — steps taken at your request prior to entering into a contract — and, where you are enquiring on behalf of an organisation, our legitimate interest in responding to business enquiries under Article 6(1)(f) GDPR. The consent checkbox records your agreement to this statement at the moment of submission.

5. Who receives your data

Your submission is stored in our own application database and a copy is sent by email to our business address hosted at Hostinger. Both providers act as processors and only process the data to deliver their service. We do not sell your data and do not share it with advertisers. Data is stored within the European Union.

6. How long we keep it

Enquiries that do not lead to a business relationship are deleted no later than 24 months after the last contact. If a business relationship follows, related records are kept for as long as the relationship lasts and for the statutory retention periods that apply to Dutch business administration (currently seven years for fiscal records).

7. Your rights

Under the GDPR you have the right to access your data, to have it corrected or deleted, to restrict or object to processing, and to receive your data in a portable format. Where processing is based on consent, you can withdraw that consent at any time; this does not affect processing that already took place.

8. Deletion and requests

Send any request — including deletion of your enquiry — to info@setfy.nl. We respond within one month. If you are not satisfied, you can lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

9. Cookies

This website does not use tracking or advertising cookies. Your language choice is stored locally in your browser so the site opens in the language you selected.

10. Security

Data is transmitted over an encrypted connection and access to stored enquiries is restricted to authorised Setfy accounts.
